The problem it solves

A project-based business loses money in the gap between what was quoted and what was spent, and that gap is usually only visible after the job is finished. Costs sit in one place, timesheets in another, purchase orders in an inbox, and site progress in a WhatsApp group. By the time the numbers are pulled together, the project is closed and the lesson is expensive.

This platform closes that gap while the work is running. Budget, committed cost, labour hours, travel, procurement and site status update as the team does its job, so an overrun shows up in week three rather than at final account.

It was built for businesses running multiple sites, often in more than one country, with technicians in the field and a small office carrying the administration. Everything in it exists because someone was doing it manually.

What is inside

Grouped the way the business is grouped: overview, field operations, people and time, supply chain, and system control.

Overview
Dashboard
Portfolio budget, total spent, budget remaining and labour for the month on one screen, with portfolio health, deployment status, cost sources, installation progress by country and team utilisation beneath it.
Project Costing
Budget by line, committed versus actual cost, variations, and margin per project. The single source everything else reports into.
Field operations
Client Projects
Every site under a client, with scope, programme, assigned team and current status. Registered, in progress, installed, or maintenance open.
Task Log
Work recorded against the project it belongs to, with completion evidence attached to the task rather than sitting on a phone.
Recurring Services
Scheduled maintenance and service contracts, generated on their cycle so renewals and site visits are never missed.
People & time
Teams
Technicians and crews, skills, availability and allocation across sites, with utilisation reported per month.
Time Management
Hours captured against project and task, feeding labour cost straight into project costing without a separate reconciliation.
Overtime
Overtime recorded, approved and costed separately, so the true labour cost of a rushed project is visible.
Travel
Trips, distances, allowances and accommodation charged to the site that caused them.
Supply chain
Suppliers
Supplier records, pricing and performance history in one register rather than in individual buyers' heads.
Procurement
Requisition to order to goods received, with committed cost hitting the project the moment an order is raised.
Control
User Roles
Permissions per role, from admin with full control down to a technician who only sees their own tasks.
Reports & Archive
Exportable reporting, CSV out, management notes, flags and alerts, and a full archive of closed projects for the next tender.

Thinking behind the design

Project software fails when the people on site refuse to use it. A technician at the end of a twelve-hour shift will not fill in six fields, and if the time log does not get captured, the costing is fiction and the dashboard above it is worse than nothing.

So capture is short and everything that can be inferred is inferred: a task knows its project, a project knows its client and rates, travel knows its site. The screens the office lives in are dense, because the office wants everything at once. The screens the field lives in are almost empty, because the field wants one thing done fast.

Four figures lead: portfolio budget, total spent, budget remaining, and labour for the month. Under them, the counts that decide where the week goes — sites registered, installed, in progress, maintenance tickets open and procurement items tracked. Nothing here is a vanity metric; each one has a decision attached to it.

Costing and the field

Project costing is the spine. Every hour logged, kilometre travelled, order placed and overtime shift approved lands against a project line, so the budget remaining figure on the dashboard is the same number a project manager sees on their own screen. One version, updated by the work itself.

Built around your business, not the other way round

Off-the-shelf platforms ask you to change how you work. This is built to the process you already run, then improved where the process is the problem.

Configured to your process
Your project stages, cost codes, rate structures, approval limits and terminology. Staff learn one system rather than translating a generic one.
No per-seat penalty for growing
Add technicians, sites or a second country without the licence cost moving.
Works across borders
Installation progress and cost reported by country, with each operation able to run independently and consolidate when you want the group view.
Your data stays yours
Hosted where you choose, exported to CSV at any time, with a documented structure and no proprietary lock-in.
Integrates with what you keep
Accounting, payroll and existing spreadsheets can feed in or read out, so you replace what is broken and keep what works.
Overruns visible early
Committed cost, labour and travel land against the project as they happen, so a problem surfaces while there is still something to be done about it.
Phased, low-risk rollout
One module and one project at a time, alongside the current process until it is proven. The business never stops trading to adopt it.
It keeps developing Optional
New modules, reports and integrations added on a support agreement, on your priorities rather than a vendor's roadmap.
